1. About us

Amvin Digital ("we", "us", "our") is a software company based in Kolkata, West Bengal, India. We build and operate digital products for businesses, including OPD Pilot, appointment-management software for healthcare clinics.

2. What this policy covers

This policy explains how we handle personal information across our company — our website, our business operations, and the products we operate.

Each product has its own privacy policy with the detail specific to that service:

Where a product policy says something more specific than this page, the product policy applies.

3. Two different roles

This distinction matters, because it decides who controls your information.

• As a service provider (processor). In most of our products, our business customers decide what information is collected and why. They are the data controller. We process it on their instructions only. For example, in OPD Pilot the clinic controls its patients' records — not us.
• As a company (controller). For our own website visitors, enquiries, and business contacts, we decide how information is used, and this policy applies directly.

4. Information we handle

• Visitors to this website: name, email, phone and message if you contact us; basic technical data such as IP address, browser type, and pages viewed.
• Business customers: contact and billing details of the organisation and its authorised staff.
• End users of our products: as described in each product's own policy, and processed on our customer's instructions.
• Client systems we work on: when we build or automate a system for a business customer, that work may involve their records — staff, customer or operational data. We access only what the engagement requires, act solely on that customer's instructions, and do not use their data for any purpose of our own.

We do not sell personal information. We do not use it for advertising. We do not buy or import contact lists.

5. WhatsApp Business messaging

Some of our products send transactional messages through the WhatsApp Business Platform, provided by WhatsApp LLC (a Meta company).

How it works:

• Messages are sent only to people who provided their mobile number to one of our business customers for that purpose — for example, a patient who booked an appointment at a clinic using OPD Pilot
• Messages are service messages only: confirmations, reminders, reschedules and cancellations. We send no marketing or promotional messages through WhatsApp
• We use approved message templates as required by WhatsApp
• To deliver a message, the recipient's mobile number and message content are shared with WhatsApp and handled under WhatsApp's Privacy Policy

To stop receiving WhatsApp messages: reply STOP, block the sender in WhatsApp, or ask the business that holds your record to remove your number. We honour opt-out requests promptly, and pass them to our customer where the request reaches us first.

6. Who we share information with

• The business customer whose service you used
• WhatsApp / Meta, only to deliver the messages described above
• Hosting and infrastructure providers that run our servers
• Payment providers, for our own billing
• Authorities, where required by law

We do not share personal information for any other purpose.

7. How long we keep it

• Website enquiries: up to 24 months
• Business customer records: for the life of the agreement and any period required by law
• Product data: as set by our customer, described in each product policy

8. Security

Access controls and role-based permissions, encrypted connections (HTTPS), audit logging of staff actions, and restricted administrative access. No system is perfectly secure, but we take reasonable and appropriate measures.

9. Your rights

You may ask to access, correct, or delete your personal information, or object to how it is used.

If your information relates to one of our products, contact the business that holds your record — the clinic, or the organisation you dealt with. They control it and we act on their instruction.

Otherwise, email info@amvindigital.com and we will respond within the period required by law.

10. How to delete your data

You can ask us to delete the personal information we hold about you.

If your information relates to one of our products or a client service — for example, you are a patient at a clinic using OPD Pilot — the business you dealt with controls that record. Ask them directly and they will action it, or instruct us to. We will act on their instruction.

If we hold your information directly — a website enquiry, or a business contact record — email info@amvindigital.com with the subject line "Data deletion request" and include:

• your name
• the email address or phone number you used with us
• which service or product it relates to, if you know

What happens next: we acknowledge your request within 48 hours, verify that the request comes from you, and delete the information within 30 days. We will confirm in writing once it is done.

What we may keep: records we are required to retain by law — for example billing and tax records — and anonymised data that can no longer identify you. We will tell you if this applies to your request.

11. Grievance redressal

If you are not satisfied with how your personal information has been handled, you can contact our Grievance Officer.

Please write "Grievance" in the subject line. We acknowledge complaints within 24 hours and resolve them within 30 days.

12. Cookies and analytics

Browsing this website does not set any cookies. We run no analytics, advertising or tracking scripts on it, and we do not use cookies to profile visitors.

One session cookie is set only if you sign in to our administration area, or open a private link we sent you directly. It keeps that session working, holds no personal information itself, and is discarded when the session ends.

Some pages load fonts and icons from Google Fonts and cdnjs. Those providers receive your IP address as part of serving the file, but set no cookies on this site.

You can block or delete cookies in your browser settings. Blocking them may stop the sign-in areas above from working. We do not use cookies for advertising and we do not sell any data collected through them.

13. Children

Our products are not directed at children. Where a business customer's service involves a minor — for example a child treated at a clinic — that information is provided by a parent or guardian and processed on the customer's instruction.

14. Changes

We may update this policy. The revision date above will change, and we will notify business customers of material changes.
